1. INFORMATION WE COLLECT

- Email address
- Phone number
- Password (encrypted)
- Profile photograph
1.2 Biometric Data
- Facial geometry and face embeddings captured during registration (liveness detection)
- Face verification data when joining meetings
- Facial recognition data during AI-powered attendance tracking in meetings
We collect biometric data solely for identity verification and attendance monitoring purposes. This data is processed and stored securely on our servers.
1.3 Meeting Data
- Meeting recordings (video and audio), when initiated by the meeting host
- Meeting chat messages
- Shared files and whiteboard content during meetings
- Meeting attendance records and participation timestamps
- Screen share content during meetings
1.4 Device and Technical Data
- Device type and operating system
- Firebase Cloud Messaging token (for push notifications)
- IP address
- App version
1.6 Camera and Microphone Data
- Camera is used for: video conferencing, face capture during registration (liveness detection), face verification when joining meetings, and AI attendance tracking
during meetings
- Microphone is used for: audio communication during meetings and audio in meeting recordings
2. HOW WE USE YOUR INFORMATION
We use the collected information for:
- Creating and managing your account
- Verifying your identity via face recognition when joining meetings
- Enabling video and audio communication in meetings
- AI-powered attendance tracking during meetings
- Recording meetings when initiated by the host
- Sending push notifications for meeting invitations, reminders, and updates
- Generating meeting analytics and attendance reports
- Improving our services and user experience
3. BIOMETRIC DATA — SPECIAL DISCLOSURES
3.1 What We Collect
We capture facial geometry data and generate face embeddings (mathematical representations of your facial features) during:
- Account registration (with liveness detection to prevent fraud)
- Meeting join verification
- AI attendance tracking during meetings
3.2 Purpose
Biometric data is used solely for:
- Verifying that the person joining a meeting is the registered account holder
- Tracking attendance during meetings
- Preventing unauthorized access to meetings
3.3 Storage and Security
- Face embeddings are stored in encrypted databases on our servers
- Raw face images captured during attendance are processed in real-time and are not permanently stored
- Biometric data is not shared with any third party
3.4 Retention and Deletion
- Face embeddings are retained as long as your account is active
- When you delete your account, all biometric data is permanently deleted within 30 days
- You may request deletion of your biometric data at any time by contacting privacy@lancieretechnologies.com
3.5 Consent
By registering for iMeetPro and completing the face capture process, you provide explicit consent for the collection and processing of your biometric data as described
above. You may withdraw consent at any time by deleting your account or contacting us.
4. MEETING RECORDINGS
- Meeting recordings (video and audio) can only be initiated by the meeting host
- All participants are notified when recording starts
- Recordings are stored on our servers and accessible to the host and authorized participants
- Recordings may include video, audio, screen share content, and chat messages
- Hosts can delete recordings at any time
- Recordings in trash are permanently deleted after 15 days
5. DATA STORAGE AND SECURITY
- All data is stored on Oracle Cloud Infrastructure servers
- Data is encrypted in transit using TLS/SSL (HTTPS)
- Passwords are hashed and never stored in plain text
- Access to servers is restricted and monitored
- Database access requires authentication
- We implement industry-standard security measures to protect your data
6. THIRD-PARTY SERVICES
We use the following third-party services that may process your data:
- LiveKit (https://livekit.io) — Real-time video and audio communication infrastructure
- Firebase / Google Cloud Messaging (https://firebase.google.com) — Push notification delivery
- Oracle Cloud (https://oracle.com/cloud) — Data hosting and infrastructure
Each third-party service operates under its own privacy policy. We recommend reviewing their policies.
7. DATA RETENTION
- Account data: Retained while your account is active
- Biometric data: Retained while your account is active; deleted within 30 days of account deletion
- Meeting recordings: Retained until deleted by the host; trashed recordings auto-delete after 15 days
- Chat messages: Retained for the duration of the meeting session
- Attendance records: Retained while your account is active
8. YOUR RIGHTS
You have the right to:
- Access your personal data
- Correct inaccurate personal data
- Delete your account and all associated data
- Request a copy of your data
- Withdraw consent for biometric data processing
- Opt out of push notifications

9. FOR USERS IN THE EUROPEAN UNION (GDPR)

- Legal Basis: Consent (for biometric data), Contract (for account and meeting services), Legitimate Interest (for security and analytics)
- You have the right to: access, rectify, erase, restrict processing, data portability, and object to processing
- You have the right to lodge a complaint with your local data protection authority
- Data may be transferred outside the EEA to our servers in India; we ensure appropriate safeguards are in place
10. FOR USERS IN CALIFORNIA (CCPA)
- You have the right to know what personal information we collect and how it is used
- You have the right to request deletion of your personal information
- We do not sell your personal information to third parties
- We will not discriminate against you for exercising your privacy rights
11. CHILDREN'S PRIVACY
iMeetPro is not intended for use by children under the age of 13 (or 16 in the EU). We do not knowingly collect personal information from children. If we become aware
that we have collected data from a child under the applicable age, we will delete it promptly. If you believe a child has provided us with personal data, please
contact us at privacy@lancieretechnologies.com.
12. PERMISSIONS USED
The App requires the following device permissions:
- Camera: Video calls, face registration, face verification, attendance tracking
- Microphone: Audio in meetings and recordings
- Internet: All app functionality
- Notifications: Meeting reminders and updates
- Bluetooth: Audio device routing during calls
- Foreground Service: Maintaining active meeting connections
13. CHANGES TO THIS POLICY
We may update this Privacy Policy from time to time. We will notify you of significant changes via email or in-app notification. Continued use of the App after changes
constitutes acceptance of the updated policy.
